Everything You Need to Log Business Trips

DocuFlexPro's mileage tracker is built for sole proprietors, freelancers, and self-employed workers who need accurate, CRA-ready records without a dedicated subscription app.

Quick-Log Trip Presets

Save frequent destinations as presets — client office, supply store, job site. One tap logs the trip with all the details pre-filled. Distance is auto-calculated or manually entered.

🔄

Round Trip Support

Toggle "Round Trip" when logging and DocuFlexPro doubles the distance automatically. The return portion is logged as a separate entry in your mileage log for CRA compliance.

🚙

Vehicle Settings

Set your vehicle type, make, and model. In regions where the mileage rate depends on engine size (NZ) or fuel type, DocuFlexPro selects the correct rate. Multiple vehicles are supported.

📊

Automatic Tier Switching (CRA)

The CRA has two mileage rates that switch at 5,000 km. DocuFlexPro tracks your cumulative km, switches rates automatically at the threshold, and shows you exactly where you are.

📋

Purpose & Notes Field

Every trip requires a business purpose — the CRA and IRS both require this. DocuFlexPro prompts you to enter it and stores it with the trip. Notes are included in the CSV export.

📤

CSV Mileage Log Export

Export your full mileage log as CSV: date, destination, purpose, kilometres/miles, rate applied, and deduction amount. The format is accepted by the CRA and meets IRS record-keeping requirements.

🔒

Fully On-Device

Your mileage log is stored on your device. No cloud backup, no account required, no subscription. The data is yours — export it anytime to your own backup destination.

🧮

Year-End Summary

Filter by year or date range to see your total business kilometres, total deductible amount per tier, and your business-use percentage if you also log personal trips for comparison.

🔗

Combined Receipt + Mileage Export

When you export your CRA T2125 or IRS Schedule C report, DocuFlexPro includes your mileage log alongside your receipt data — one ZIP contains everything your accountant needs.

Log a Trip in Under 20 Seconds

1

Tap "Add Trip" in the Mileage Tab

Open DocuFlexPro and navigate to the Mileage tab. Tap the "+" button to start a new trip entry. If you have previously saved presets, you can select one to auto-fill the destination and purpose fields.

2

Enter Distance and Business Purpose

Type the distance in kilometres (or miles for US) and a brief business purpose — for example, "Client meeting — downtown" or "Hardware pickup for job site #7." If it is a round trip, toggle Round Trip to double the distance. The deduction is calculated in real time as you type.

3

Save — and Check Your Running Total

Tap Save. The trip is added to your log, your year-to-date total updates instantly, and the app shows how many kilometres remain before your CRA Tier 1 limit is reached. At tax time, open Export and generate your mileage log CSV in one tap.

What Counts as Business Mileage?

Both the CRA and IRS have clear definitions of which trips are deductible. Here is a quick reference — and when in doubt, consult your accountant.

✓ Deductible Business Mileage
  • Driving to a client's office or job site
  • Travelling between two work locations
  • Going to the bank, post office for business
  • Driving to pick up supplies or inventory
  • Attending a business conference or seminar
  • Meeting with your accountant or lawyer
  • Driving to a temporary work location
  • Delivering products to customers
✗ Not Deductible (Personal)
  • Daily commute from home to your regular workplace
  • Personal errands while running a business errand
  • Personal use of a business vehicle
  • Driving your kids to school or activities
  • Grocery shopping for personal use
  • Driving to the gym or personal appointments
  • Commuting on days you work from home (no trip)
  • Vacation travel mixed with a business conference

Always maintain records for every business trip. The CRA and IRS both require contemporaneous records — meaning you log the trip at the time of travel, not reconstructed later from memory.

Mileage Deduction Questions

What is the CRA mileage rate for 2026?
The 2026 CRA automobile allowance rate is $0.72 per kilometre for the first 5,000 business kilometres, and $0.66 per kilometre for each additional kilometre. For northern residents (Yukon, NWT, Nunavut), add $0.04 per kilometre. DocuFlexPro applies these rates automatically and switches tiers at exactly 5,000 km.
What is the IRS standard mileage rate for 2026?
The IRS standard mileage rate for 2026 is 70 cents per mile for business use. This is a flat rate — there is no tier structure like the CRA uses. The IRS also has rates for medical/moving (21¢/mile) and charitable purposes (14¢/mile), which DocuFlexPro tracks separately.
What records does the CRA require for a mileage deduction?
The CRA requires a logbook that includes: the date of each trip, the destination (city or address), the business purpose, and the distance driven. You should also record the opening odometer reading at the start of the year and the closing reading at year-end. DocuFlexPro captures all of these fields and exports them in a CRA-accepted format.
Can I deduct 100% of my vehicle kilometres for business?
Only if you use your vehicle exclusively for business — which is rare. For a vehicle used for both personal and business purposes, the deductible portion is the business-use percentage: business km ÷ total km × 100. DocuFlexPro helps you track business km; you record your total km separately (from your odometer) and calculate the percentage at year-end.
Does commuting count as business mileage?
No — not for either the CRA or IRS. Driving from your home to your regular, fixed place of work is a personal commute and is not deductible. However, if you drive from your home office to a client site, that full trip counts as business mileage (your home office is your regular place of work).
How does DocuFlexPro handle the CRA tiered rate?
DocuFlexPro tracks your cumulative business kilometres for the calendar year. The first 5,000 km are calculated at $0.72/km. When you cross that threshold, subsequent trips automatically use $0.66/km. Your mileage log export shows the distance and deduction in each tier separately — exactly what the CRA needs to see.
Can I use DocuFlexPro's mileage log if I am audited by the CRA?
Yes. DocuFlexPro's mileage log export includes all required fields in CSV format: date, destination, business purpose, kilometres, and deduction. The CRA accepts digital logs. To further support your claim, you should also keep odometer photos or note the opening and closing odometer reading for the year — DocuFlexPro has a field for this in vehicle settings.
